Your information, handled with care.

PollyCity is an AI public-service initiative developed by Polly X, Inc. (“PollyCity”, “we”, “us”). It helps residents find, understand and reach city services through friendly AI assistants that can chat, talk and hand people off to city staff.

This notice covers two different situations, and they work differently:

• This website. A public preview of PollyCity with sample conversations. It is not connected to any city and does not handle real service requests.
• City deployments. When a city launches a PollyCity assistant, the city decides what information is collected and why. We process it on the city's behalf under a written agreement, and the city's own privacy notice applies.

• Approximate city. If you haven't picked a city, your browser asks a location service (ipapi.co) to estimate your city from your IP address, so we can show nearby examples. We don't store your IP address. You can always choose a city yourself with the My city selector.
• Your preferences. Your chosen city, language and light or dark theme are saved in your own browser so the site remembers them. They aren't sent to our servers.
• Translation. Sample conversations come with translations we've checked. When you pick a language other than English, the rest of the page text is sent to Google Translate to be translated, and Google's privacy policy applies to that request.
• Visit statistics. We use Vercel Web Analytics to count page views and see which pages are useful. It uses no cookies, doesn't follow you across other websites, and only gives us totals.
• Chat assistant. The chat bubble on this site is run by PollyBot. Anything you type into it is sent to PollyBot to generate a reply. To recognise your browser between visits, we give it a random visitor ID that isn't linked to your name, email or location. Please don't share sensitive personal details in the chat.
• Pilot letters of intent. When a city official signs the pilot letter, we receive the details on the form (name, title, office, city, state, work email, optional phone, service areas and goals), the signature and any seal uploaded, and how you found us. We use them to include your letter in our grant proposal, to email you a signed copy, and to follow up about the pilot, and we keep them, with the signed letter, in our customer relationship system.
• Messages you send us. When you use the contact form or email us, we receive your name, email address and whatever you write, and we use them only to reply and follow up. Contact form messages are saved in our customer relationship system along with how you found us: the page you first landed on, the site that linked you here, any campaign or referral code in that link, your browser type and your IP address. The form is protected by Cloudflare Turnstile, which checks that a person is sending it.

We use two cookies and three browser storage entries to remember your choices and keep the chat assistant working. None are used for advertising or tracking across other websites.

You can delete these at any time in your browser settings. The site still works, it just forgets your choices.

In a live deployment, an assistant may need some information to help you, like the question you ask, your address for a permit lookup, or what you say during a voice call. These are the commitments we make to every city partner:

• You'll always know it's AI. Assistants, including on-screen avatars, say clearly that they are AI.
• Only what's needed. We collect the minimum needed to answer your question or complete the step you asked for.
• Retention set with the city. Each city sets how long conversations and recordings are kept and when they're deleted, and we follow those rules.
• Handoffs with context. When you're connected to a city employee, we pass along what you already explained so you don't have to repeat yourself. Official decisions are always made by city staff.
• Never sold or used for ads. We don't sell resident information, show ads, or use it to train AI models for anyone other than the city it belongs to.

Please don't share sensitive details like Social Security or bank numbers in a chat unless an official city form asks for them. To find out how your city handles your information, or to ask for it to be corrected or deleted, contact your city directly. We'll help them respond.

• Service providers who help us run PollyCity, such as website hosting (Vercel), location estimates (ipapi.co), translation (Google), city photos in the city selector (Wikimedia), spam protection (Cloudflare), our customer relationship system and, in city deployments, AI model providers bound by contracts that forbid using the data for anything else.
• The city that deploys PollyCity, for the services you asked it about.
• Legal requirements, when the law requires it or to protect someone's safety.

All traffic to this site is encrypted with HTTPS. In city deployments, access is limited to authorized staff, information is encrypted in storage and in transit, and safeguards are reviewed with each city before launch. No system is perfectly secure, but we'll tell affected cities quickly if something goes wrong so they can notify residents as the law requires.

• Choose your city yourself to skip the location estimate.
• Stay in English to avoid sending page text to Google Translate.
• Clear your browser data to remove saved preferences.
• Ask us what information we hold about you, or ask us to correct or delete it.

Depending on where you live, privacy laws may give you more rights. We'll respond to requests within the time those laws require. For information held for a city deployment, we'll work with that city to handle your request.

This website isn't aimed at children under 13, and we don't knowingly collect information from them. If you think a child has sent us personal information, contact us and we'll delete it.

We'll update this notice as PollyCity grows, including when real city services launch. The date at the top of the page shows when it last changed. For important changes, we'll also post a notice on the site.
